Customer Protection & Fair Business Practices

A plain-English summary of the customer-protection commitments that govern every ProCareMan® engagement — from first estimate through warranty period. This is how we work, in writing, on every project.
Written Estimates
Every ProCareMan® estimate comes back as a signed PDF. It includes line-item scope of work, material allowances by category, schedule milestones, payment schedule, permit responsibility, warranty terms, and the change-order process. Verbal numbers are not estimates — they are conversation. We do not work on verbal estimates.
Deposits
Deposits cover initial design work, permit application fees, and material orders. The refundable portion of a deposit equals the deposit amount less non-cancellable material orders, design hours billed, and permit fees already paid. The contract specifies the exact deposit amount and what it covers.
Progress Payments
Projects use milestone-based progress payments. Typical milestones: contract signing → material delivery → rough-in completion → drywall completion → cabinetry install → punch-list completion. No milestone payment is due until the milestone is documented complete by the project manager.
Change Orders
Change orders are always written, never verbal. Every change to scope is documented, priced, and signed by both parties before work proceeds. This is the single most important customer-protection commitment in our process — and the chronic complaint of the remodeling industry.
Project Communication
You receive a written status update every Monday morning by email — what was completed last week, what is scheduled this week, any items pending decision from you, and the next two upcoming milestones. The project manager is reachable by phone and text during business hours.
Scheduling Expectations
Realistic schedules are set at contract signing and updated weekly. Schedule risk factors (permit timing, material lead time, weather, hidden conditions) are flagged before the project starts. We do not promise schedules we cannot deliver.
Customer Responsibilities
• Provide access to the property as scheduled. • Make material and finish selections within the agreed schedule. • Respond to written requests for decisions within 2 business days. • Pay milestone invoices when due. • Inform the project manager of any change in property occupancy, pets, security, or special circumstances during the build.
Contractor Responsibilities
• Honor the written scope, schedule, and payment terms in the contract. • Pull all required permits and schedule all required inspections. • Coordinate licensed trades with appropriate vetting. • Communicate weekly in writing. • Document the project with photos and inspection records. • Stand behind the work for the warranty period stated in the contract.
Warranty Process
Workmanship warranty terms are stated in writing in the project contract — typically 1 year on workmanship, longer where manufacturer warranties extend coverage (cabinets, roofing, mechanical systems). Warranty claims are submitted in writing to your project manager and addressed in the order received. Most warranty work is completed within 30 days.
Dispute Resolution Process
Step 1 — direct conversation with your project manager (resolves the majority of disputes). Step 2 — escalation to ProCareMan® ownership, in writing. Step 3 — mediation through a neutral Utah-based construction-industry mediator (cost split equally). Step 4 — binding arbitration or Utah small-claims / district court per the contract's dispute-resolution clause. We pursue this in order — we do not skip steps to litigation.
Refund Policies
